Executive Assistant (Remote position)

Position Summary:

A remote position, where the role is reporting directly to the  CEO. 

The Executive Assistant provides executive, administrative, and development support to the CEO, as well as the Senior Leadership Team. 

Primary Responsibilities

  1. Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; prioritizing tasks, follow up on status of different initiatives and business areas, completing expense reports; composing and preparing correspondence; arranging travel plans, prepares meetings and agendas and compiling documents for meetings, as well as taking notes in meetings.
  2. Communicates directly and on behalf of the CEO on matters related to initiatives and projects as directed. 
  3. Conducts research on prospective clients to identify and evaluate current needs and assembles materials needed for the proposals and sales meetings. Correspondence to prospect and clients on CEO's behalf.
  4. Drafts reports, sales letters, proposals and presentations (PPT); prepares and coordinates oral and written communication with clients and prospects.
  5. Assisting in scheduling and preparing internal meetings, as management team meetings, workshops, educational meetings. Taking notes and organizing decisions and actions taken.
  6. Represents the CEO in designated meetings as required.
  7. Assists in coordinating the agenda of senior management team meetings. 
  8. Follows up on assigned action items.
  9. Administratively supports HR duties for different senior leaders (recruiting support, documents formatting, surveys set up and other administrative tasks), drafts emails and other correspondence as directed.
  10. Performs other duties as assigned.

Accountabilities

  • Position reports to the CEO

Experience & Education:

  • Bachelor’s degree or equivalent 
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • More than three years experience providing support for upper-level management in a related organization or other roles of responsibility at or above a similar level.

Skills & Abilities:

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, managers and external partners.
  • Excellent English - oral, writing, editing, grammatical skills.
  • Previous experience working with similar duties and responsibilities.
  • Proficiency in Office 365/Teams and a MS Office proficient user, including MS Word, EXCEL and PowerPoint.
  • Ability to learn new software such as Trello, Project Management, OKR software and other internal administrative systems.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Ability to work independently and with professional discretion.
  • Ability to work with a broad range of people including colleagues and staff, as well as clients and prospects.
  • Excellent time-management, and problem-solving skills.

Working Conditions/Other Data:

  • Due to the confidentiality of the work, the functions of this position should be performed in a private office location/Home office.
  • Working primarily according to CET time zone.
